Overview
ROMANCHA applies a unified platform-wide cancellation policy to ensure fair and consistent treatment for all Guests and Hosts. This standard policy creates predictability, builds trust, and minimizes disputes.
Romancha Standard Policy
When Guests Cancel
| Timing of Cancellation | Refund Entitlement |

| Five (5) or more days before check-in | 100% refund |
| Two (2) to five (5) days before check-in | 50% refund |
| Less than forty-eight (48) hours before check-in | No refund |
When Hosts Cancel

- Listing demotion in search results
- Calendar restrictions
- Account review or suspension
Guest No-Shows

| Guest fails to arrive without cancelling | Host receives 100% payout |
If a Guest does not check in and has not cancelled the booking, the booking is treated as completed.

How to Cancel
Cancellation Process
- Log in to your ROMANCHA account
- Navigate to "My Trips" or "Bookings"
- Select the booking to cancel
- Click "Cancel Booking"
- Review refund entitlement based on timing
- Confirm cancellation
Confirmation
You will receive:
- Email confirmation
- In-app notification
- Refund details (if applicable)
Timing Calculation
- Cancellation timing is calculated from the check-in time shown in your booking confirmation
- All times are in Indian Standard Time (IST)
- Example: If check-in is 2:00 PM on March 15, "5 days before check-in" means 2:00 PM on March 10
Refund Processing
Processing Responsibility
All refunds are processed by the Host's payment gateway provider (e.g., Zoho Payments, Razorpay).
Processing Timelines
Refund timelines are determined by:
- The payment gateway's processing procedures
- Bank settlement and clearing procedures
- The terms of the applicable payment gateway
Typical timelines may vary:
- UPI: 1-5 business days
- Credit/Debit Cards: 5-10 business days
- Net Banking: 5-7 business days
Tracking
You may track refund status in "My Trips" → "Cancelled Bookings" or contact support.
Booking Modifications
Date Changes
- Subject to Host approval and availability
- Price difference (if any) will be charged or refunded
Adding/Reducing Nights
- Subject to availability and Host approval
- Reducing nights follows the cancellation policy timing
Extenuating Circumstances
Covered Events
ROMANCHA may, in its sole discretion, consider full refunds for:
- Natural Disasters: Earthquakes, floods, cyclones, severe weather affecting the booking location
- Government Actions: Travel bans, mandatory evacuations, visa denials
- Medical Emergencies: Serious illness or death of Guest or immediate family member
- Property Issues: Damage rendering the Accommodation uninhabitable
Documentation Required
- Official documentation (medical certificates, government notices)
- Proof of the event's impact on your booking
- Submission within 14 days of the event
Exclusions
The following are NOT covered:
- Transportation disruptions (unless caused by natural disaster)
- Personal circumstances (work conflicts, family events)
- Pre-existing conditions without new incident
- Foreseeable events at time of booking
- Minor inconveniences
Determination
All claims are evaluated case-by-case. ROMANCHA's determination is final.
Post Check-in Matters
Any matters arising after check-in, including:- Early departure
- Dissatisfaction with Accommodation
- Service complaints
- Requests for partial refunds
are to be resolved directly between Host and Guest.
ROMANCHA is not party to and shall not intervene in post check-in disputes.
Policy Updates
- We may update this policy with 30 days' notice
- Existing bookings retain the policy applicable at time of booking
- New bookings follow the updated policy
